Flagship solution · Lead-to-Revenue Reliability
Stop paid leads disappearing after the click.
The Lead Flow Reliability System helps paid-media agencies verify, repair and monitor lead delivery from ad form to CRM owner—so follow-up, reporting and client trust don't break.
The problem
Most lead failures don't throw an error.
A lead can leave the ad platform and never reach the right person, and nothing flags it. The form submits. The automation reports success. The CRM simply ends up with fewer leads, the wrong details or the wrong owner.
Ad or lead source
Captured but never sent on, or sent without campaign and source details.
Form
Required fields missing; UTMs and click IDs not captured.
Automation
A step fails quietly or is switched off; retries duplicate; leads arrive late.
CRM
Wrong field mapping; records rejected or merged; source overwritten.
Owner
Routed to the wrong person, or to no one, and nobody is told.
Reporting
Platform and CRM disagree; leads missing or credited to the wrong campaign.
Each step can look healthy on its own. The gap only shows when someone compares both ends.
Who it's for
Agencies judged on the leads they deliver
Independent paid-media, PPC, performance and lead-generation agencies—mainly in the UK, typically 10 to 30 people—that send leads into their own or their clients' CRMs.
- Founder or Managing Director
- You answer to the client when the numbers don't match.
- Head of Performance
- Your results depend on every lead arriving intact and attributed.
- Operations Lead
- You own the hand-offs between tools.
- Client Services Lead
- You explain the gaps in the client report.
- Technical or Automation Lead
- You built the flows and want evidence of where they break.
Warning signs
Signs your lead flow is leaking
- The ad platform and the CRM show different lead counts for the same period.
- A client says a lead never reached them.
- One submission creates two contacts.
- Leads arrive without source, campaign or click IDs.
- Leads sit unassigned, or with the wrong salesperson.
- Nobody is alerted when an automation fails.
- The client report needs manual fixes before it goes out.
Consequences
What it costs the agency
- Speed-to-lead
- Leads wait, or go cold before anyone calls.
- Campaign optimisation
- Campaigns are judged on incomplete or misattributed data.
- Ad efficiency
- Budget pays for leads that never reach sales.
- Reporting and margin
- Unbilled hours go on reconciling numbers instead of improving them.
- Client trust and retention
- The agency takes the blame for a failure it can't explain.
What the system does
Ten checks between the ad and the report
Not a single automation, but a set of checks around the flow you already have. The outcome is confidence that every paid lead reaches the right destination with the right information, owner and attribution—and that failures become visible before they damage revenue or a client relationship.
Intake
Every lead is accepted, checked and made consistent.
- 01Captured
- 02Validated
- 03Standardised
- 04Checked for duplicates
Delivery
It reaches the right place and the right person.
- 05Routed correctly
- 06Recorded in the CRM
Assurance
Failures become visible and recoverable.
- 07Monitored for failures and delays
- 08Replayed or corrected when delivery fails
- 09Reconciled against the source
Reporting
Numbers the agency and its clients can trust.
- 10Included in reliable operational reporting
How testing works
Controlled test leads, followed end to end
We send clearly marked test leads through the real flow and follow each one from the source to the CRM owner and the report. Then we compare counts at both ends. Opinions about what is probably happening are replaced with timestamped evidence.
Every test is logged with
- test ID
- time sent
- time received
- CRM record
- fields mapped
- owner assigned
- result
What we check
- lead source and form set-up
- lead ID, campaign, ad set, click IDs, UTMs
- webhook delivery, retries and errors
- CRM record creation and field mapping
- duplicate handling
- routing and owner assignment
- source-versus-CRM reconciliation
- failure alerting
Works with the lead sources, automation tools and CRMs agencies commonly use. Using something unusual? Ask before you buy.

The Five-Day Lead-Flow Reliability Audit
Find out where one client's lead flow can silently lose, duplicate, delay, misroute or misattribute leads—with evidence showing what to fix first.
Best for: Agencies that suspect a problem but don't yet know exactly where it is, or who owns it.
What we do
- Map the current flow, end to end
- Review fields and identifiers
- Send controlled test leads
- Test duplicate delivery
- Check routing and ownership
- Reconcile the source against the CRM
What you receive
- The current-flow map
- Test evidence with timestamps
- A prioritised remediation plan: what to fix first, and why
- A recorded walkthrough of the findings
Scope: One client account · One lead source · One CRM
$600fixed, paid upfront
Fee back if we're late. If the agreed tests and written findings aren't delivered within five business days of receiving access, the fee is refunded.
Credited if you continue. The $600 is credited towards the 14-Day Sprint if you go ahead within 14 days.

Implementation options
Further work is only proposed where the audit, or a need you've already verified, shows it's worth doing.
14-Day Lead Tracking Reliability Sprint
Fix the issues the audit prioritised for that client flow, then prove the fixes with fresh tests.Audit fee credited within 14 days
$2,000
Seven-Day Client Launch Reliability Guard
Check a new client's lead flow around launch, so it starts clean instead of being fixed later.
$1,250
30-Day Multi-Client Reliability Rollout
Apply the same checks and fixes across several client accounts.

Reliability Monitoring
Once a flow is fixed, it needs watching. Platforms change, fields get renamed and tokens expire. Monitoring means a broken step is spotted by us, not by your client.
$750 per month
- Scheduled reconciliation between the lead source and the CRM
- Alerts when a step stops delivering or slows down
- Replay or correction of failed deliveries
- A short regular report on what was caught
Access and security
Access that's limited, logged and removed
Never send passwords through Instagram, email or chat. If someone asks you to, it isn't us.
- Least privilege
- Only the permissions the agreed tests need.
- Your team creates the access
- A user or partner seat in your own tools. We never ask for anyone's login.
- Controlled testing
- Test leads are agreed in advance and clearly marked.
- Changes only with approval
- Nothing in a live system changes without written sign-off.
- Rollback plan
- Every approved change has a documented way back.
- Evidence log
- Every test and change is recorded with a timestamp.
- Data minimisation
- We look only at the fields the tests need.
- Access removed at handover
- We list every access we held and confirm its removal.
Questions
What agencies ask first
What access do you need?
Limited user or partner access to the lead source, the automation tool and the CRM for one client account, created by your team. After you get in touch, we send a checklist for your specific tools.
Do we need our client's permission?
Yes. Access to a client's CRM and lead data should be approved by the client.
Will testing affect live campaigns or the CRM?
Test leads are agreed in advance and clearly marked, and nothing in a live system changes during the audit without written approval.
When do the five business days start?
When the agreed access is in place, not when you pay.
What if you don't deliver on time?
If the agreed tests and written findings aren't delivered within five business days of access, we refund the fee.
What if the audit finds nothing wrong?
You get documented evidence that the flow behaves as intended—useful in itself when a client questions the numbers.
Do you fix the problems too?
The audit diagnoses. Fixes are a separate, agreed piece of work—usually the 14-Day Sprint, with the audit fee credited if you go ahead within 14 days.
Do you work outside the UK?
Yes. The focus is UK agencies, but the method works the same anywhere.
Check one client's lead flow in five days.
Fixed scope, fixed price and evidence you can act on—with your fee back if we miss the deadline.
